CONTRACT TERMS

WHAT YOU ARE CHARGED FOR: Customers agree to and understand that they are being charged for our time.  The agreed-upon amount in the contract is based on how long we are there, the number of people attending the event, the amount of equipment we are using, how far we have to drive, whether we have to stay overnight, location and setup, and any additional cost we may incur to put on the event.   

DEPOSIT: Customers agree to and understand that they will have to put a 50% deposit down that is non-refundable, especially if the customer cancels the event within 6 days of the event and we cannot book another event and if the customer cancels the event at the last minute when we are on our way to the event.  If the customer cancels and we can secure another booking then we will refund the deposit out of courtesy.  The deposit is non-refundable whether the customer cancels the event or we cancel the event due to unforeseen circumstances such as car trouble,  weather issues, electrical and internet issues,  or emergencies.  If we cancel without any reason, then the customer is entitled to 50% of the original deposit.   The remaining balance will be paid upon completion of the job with the credit card on file.   Customers can receive a 10% discount if they pay the full amount upfront. 

EQUIPMENT:  Customers are responsible for equipment remaining intact at the end of the job.  Any equipment that is damaged and cannot be repaired will have to be replaced by the customer.  Customers will be charged the full amount of the cost to replace the equipment they damaged or the cost of repairs.

CHARGES: Customers agree to and understand that if an event is cut short by the choice of the customer then they will be charged the full amount agreed upon and stated in their contract.  If Ultimate Gaming Events has to cut the time short for the event, then the customer will only be charged for the time we were there or the agreed amount for the hours including any discounts.

INTERNET ACCESS: We do require internet access at the location unless it is agreed upon that we will be using our mobile internet access (mobile hotspot) and customer accepts the extra charges.   It is easier if we can use the customer’s WiFi  and cheaper.  Customers understand that we charge extra if we have to use our mobile hotspot internet to cover the data charges. 

AGE LIMIT: We have an age limit.  Ultimate Gaming Events is designed for kids 10 to 17 and adults 18 and up.  While we can do a party for younger kids, it costs extra because it requires more work for our gaming coaches.  Equipment is more susceptible to damage.  Also, we are limited on games that can be played due to their graphic nature.  We can do a party for young kids,  but it will cost more and we are limited in what we can do with games.   Our gaming events are designed for kids at least 10 and older. Customers understand that there will be an extra charge for kids 8 and younger. 

CANCELLATION: Customers agree to and understand that they have to cancel the event within 48 hours or be charged the full amount.  This is to ensure we are compensated when we will not be able to book another event.  Deposits are still non-refundable even if an event is canceled before 48 hours.  Full refunds are only considered if Ultimate Gaming Events has to cancel the event.

PAYMENT: Ultimate Gaming Events only accepts deposits in the form of Credit/ Debit Cards, corporate checks, or ACH.  We do accept cash for the remainder of the payment at the end of the job and that will be reflected in the final invoice. Ultimate Gaming Events is a Truesource Media Services Company and all payments are through our parent company Truesource Media Services – DBA Ultimate Gaming Events.
